Van Reeth Service Stations, the known fuel supplier of Flemish Brabant has, in recent years, invested heavily in expanding its network. Today Van Reeth counts 18 service stations and customers can use the fuel card in an extensive network of stations across Belgium.

Implementation XPetro

For managing their stations Van Reeth Service Stations has chosen the web-based software application XPetro. The switch went live since early January. Manager Johan Van Reeth gives chapter and verse.

One central management system

‘As company we are constantly looking for new opportunities and possibilities to modernize our stations and to manage them on a flexible and cost effective way. In our search, we quickly came in contact with ICASA,' Johan Van Reeth begins.

‘Their XPetro software suite provides one central management system that enables us to optimize the daily operation of our stations and thus maintain our focus on profitable refueling.
XPetro took over our data in a structured way and gave us ample time to compare with our previous application. This way, the transition went smoothly and without any noteworthy problems.'

Time savings and reducing margin of error thanks to automation

‘XPetro provides us with a wide choice of modules to centrally manage as well our stations, fuel cards, shops and accounting, as automating to the extent possible’, Johan continues.

‘This way daily reports and reservations are processed fully automatically, and there is no further manual handling necessary to control the accounting. In the same way XPetro ensures that the fuel prices are transferred automatically to all stations and we don't need to adapt this manually station by station anymore.

The management of the official prices, discounts service stations, customer discounts, invoicing cheapest price, all is done automatically in the same motion. Moreover, we can directly activate and block our fuel cards from XPetro. Thanks to this automation we save not only time (and therefore money) but we minimize also potential human error.' 

Extensive invoice capabilities

‘Also in terms of invoicing, XPetro provides a lot of added value such as the fully automatic invoicing to official card companies (such as Caps Card, DCB, DKV, Fleet Pass Travelcard, UTA, XXimo) and the sorting based on the number of pages, so both don't need to be done manually anymore’, Johan explains. ’Also the printing and elektronic sending of invoices is fully automated.’

‘Besides that, XPetro provides the possibility of different invoicing (based on pump prices, official price minus discounts, Platts prices and formulas). And what was also very important to us, is the smooth integration of the online oase card on one hand and the Trackwheel card (which replaces the consumption of the ticket receipts) on the other.’

Analysing on the basis of the Site Operations Dashboard

‘With the help of the Site Operations Dashboard we can collect and analyze the different shop movements, enabling us to move quickly and to continuously respond to the needs of our customers.

XPetro provides both a total overview of the various sales in the shops of our respective stations, as a detail image per shop and that in a very dynamic and visual way.

In the same way we can analyze the turnover of our fuels, global or per station. These dashboards are additionally available in an iPad version, which makes it a useful tool for on the road’, Johan explains. 

Anticipating to fluctuating market thanks to the Pricing Barometer

‘In the current market, as service station operator, it is crucial to keep our finger on the pulse and to quickly anticipate on the fluctuating prices. With the Pricing Barometer we can decide, in an easy way, if our prices are in line with market conditions, follow up the constant price changes and, where necessary, making à la minute adjustments by redirecting our discount amount or increase/decrease certain prices.'

Consulting current stock

‘For us it is important that we can call up the status of the current stock per station at any time and in addition get a complete overview of all our stations. This can perfectly with the Stock Barometer. Moreover the Stock Barometer makes a prediction of the current stock based on the consumption of the last 3 months and the last measured stock and informs us automatically when a particular
station could dry up.

It are just these extensive reporting capabilities that provide real added value for us and make of XPetro a strong management tool’, concludes Johan Van Reeth.
